Quotations

Quotations are hereby invited in respect of the articles mentioned below/as per list attached. The quotations should be sent direct to the undersigned in the sealed cover with wax/ transparent fixing tape duly signed in ink underneath by post marked ‘Quotations’ and due dated on the top of envelope so as to reach this office on or before 09/03/2010 through post office.
                 These will be opened on 10/03/2010 at 3 pm in the presence of the tenderness or their representatives who may care to be present by the committee members. The right of acceptance or rejecting any quotation without assigning any reason is reserved. Necessary Literature of the articles any please be sent. Please quote fore F.O.R Chandigarh/destination.

Condition: As per list Attached.
        It may please be specified if the packing, insurance and sales tex/excise duty etc. will be inclusive or extra of the prices quoted.Please quote delivery period also samples where possible should be sent alongwith ,materials should confirm to BSS/ISI  specifications where applicable.Only best quality should be quoted.

Terms & conditions:-

1. Trade Marks/ISI Certification marks of all the articles quoted for should invariably be indicated against each item.
2. Rates should be quoted for PEC University of Technology Sector-12, Chandigarh and should include all freight charges, postage, packing, cartage duties, etc. Sales tax to be indicated separately.
3. Conditional quotations will be rejected summarily without any intimation. Therefore, no extra condition should be inserted in the quotations.
4. Bid security /earnest money @ 3% of the estimated value will be taken from the prospective bidders in the form of account payee Demand Draft Cheque or a Bank Guarantee from a commercial bank. Suppliers registered with Director General of Supplies & Disposals (DGS&D).National Small industries corporation (NSIC) Govt. approved sources are exempted. Tender without earnest money should be considered unresponsive and rejected.
5. The rates quoted should be valid for a period of 180 days from the date of opening of quotation. The quantities of item given in lists are tentative and can vary upon actual requirement. The order will be placed to be the successful firm as per requirement.
6. No revision of rates will be allowed expect taxes/charges levied by the central /state by duly notified only.
7. No advance payment will be made. Payment will be released after  satisfactory Receipt of goods/material, demostation/instalation and on production of bill(in duplicate)in name of Director PEC University of Technology, Chandigarh.
8. The firm who have been blacklisted by Central / State Govt./ any govt. authority / PEC University of Technology  are not eligible to quote.
9. The material should be supplied within 4 weeks of the Purchase Order failing which penalty @2% per week of the order will be imposed upon the firm.
10. EMD of the successful firm will be forfeited in case of the material supplied is not as per specifications or inferior quality and if firm violates any of the terms & conditions.
11. All disputes will be subject to Chandigarh Jurisdiction.
12. The Director PEC University of Technology reserves to himself the right to rejecting any quotation without assigning any reason.
13. The bidder will not be permitted to alter or modify their bids after the expiry of the dead line for receipt of bids.
14. Bids received after the due date will not be accepted. PEC University of Technology  shall not be responsible for any postal delay about non receipt/non delivery of documents.
15. Performance security of 10% of the value of contract will be obtained  from the successful bidder awarded the contract in the shape of account payee Demand Draft or Bank guarantee from a commercial bank which should be valid for  a  period of 60 days beyond the completion of all contractual obligations of the supplier including warranty. Performance security is to be forfeited and credited to the Institute in the event of breach of contractual obligation by the supplier in terms of relevant contract.
16. The firm is entirely responsible for any damage or loss done to the materiel in the transit, the firm will lodge. all the complaints regarding damage done in the transit and shell bear all the expenses.
17. Full payment will be made to the company /firm after the receipt of the metrical in the good condition /satisfactory operations installation of equipment in the department.
18. You may send the material insured if necessary but the insurance charges will be born by your organisation.
19. Form –D will not be issued.
20. This institute being a premier Education and Research Institution funded by govt. discount as applicable to Research Institutes/Educational Institutes may be provided in the quote.
21. The Vendor will be responsible for the comprehensive maintenance of equipment supplied during the warranty period after the acceptance of installation & testing of equipments. In case of default ,PEC University of Technology ,Sector 12 Chandigarh will have the right to arrange maintenance at the risk and cost of vendor ,from any other soirce and shall raise bills to vendor. Vendor shall clear such bills within 15 days.
22. The collage is exempted from payment of custom & central excise duty as per rules.The excise /custom duty required to be mentioned separately.
23. If price is quoted in foreign currency, the rupee equivalent price must also be indicated.
24. The material will be accepted only after inspection at this Department. If not found suitable or according to the specification, the same will be returned at your cost and risk.
